The following statement explains UKChanges' policy regarding the use and protection of personal information we collect about you when you use this website and any website from which we operate our products and services (including UKChanges>online). We may update our privacy policy from time to time and therefore you should check this page periodically. This privacy policy is effective from February 2018. Please read it in conjunction with our Website Terms and Conditions of Use.

  1. Statement of intent

    You can use this website without providing us with any information. From time to time however, you may be asked to submit personal information about yourself (e.g. name and e-mail address, etc) in order to receive or use services on our website. Such services include providing you with our 'Toolkit' and/or other informational documents by e-mail or download and could include member access, competitions and message boards. Entering your details in the fields requested, will enable UKChanges to provide you with the services you select. Whenever you provide such personal information, we will treat that information in accordance with this policy. Our services are designed to give you the information that you want to receive. UKChanges acts in accordance with current legislation and aims to meet current Internet best practice.

  2. Information on visitors

    When someone visits we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to understand things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personally identifiable information and will explain what we intend to do with it.

    We use cookies for certain areas of our website.

    Cookies are files that store information on your hard drive or browser and are placed on your computer by websites you visit. One of the cookies we use is essential for parts of our UKChanges>online and user services sites, such as the API minisite, to operate securely and is set on log in. Another cookie is aimed at making our sites more user friendly by giving users the option to remember their e-mail address on log in. You may withdraw your consent to the use of any accepted cookies at any time by disabling them from your browser but if you do so, you will not be able to use the services we offer via UKChanges>online.

  3. Submitting personal information

    If you supply any personal information to UKChanges for the purposes referred to in section 1 above, we have legal obligations towards you in the way that we deal with that data. We will collect the information fairly (by including appropriate notices on particular website pages that let you know why we are requesting the information) and we will let you know how we will use it. We will hold your personal information on our systems for as long as you use the service you have requested and remove it in the event that the purpose has been met, or, in the case of membership access, you no longer wish to continue your membership as a registered user. We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable procedures to safeguard and secure the information we collect. Please note that we do not hold any credit card information ourselves; such data is processed securely on our behalf by a third-party service provider.

  4. Access to personal information

    UKChanges tries to be as open as it can be in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by making a 'subject access request' under Data Protection legislation. If we do hold information about you, we will:

    • give you a description of it;
    • tell you why we are holding it;
    • tell you who it could be disclosed to; and
    • let you have a copy of the information in an intelligible form.

    To make a request to UKChanges regarding any personal information we may hold, you need to put the request in writing, addressing it to our legal department at the address provided below.

    If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone, once we have confirmed your identity.

    If we do hold information about you, you can ask us to correct any mistakes by, once again, contacting the legal department using the address below.

  5. Complaints or queries

    UKChanges tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.

    This privacy notice was drafted with brevity and clarity in mind. It does not provide exhaustive detail of all aspects of UKChanges' collection and use of personal information. However, we are happy to provide any additional information or explanation needed. Any requests for this should be sent to the address below.

  6. Direct marketing and user surveys

    We would like to provide you with information about new products and services that may be of interest to you and offer you the opportunity to subscribe to them and other information which we think may be of interest to you. We may provide you with such information by mail, telephone or e-mail depending upon your preferences. When you provide us with information, you will be given the option to let us know that you do not want your information to be used for direct marketing purposes. If you choose this option, we will not contact you with any such marketing material.

    If you are a client of UKChanges and have previously asked us for information regarding our products or services (including our Toolkit guide or other informational documents), we may send you information on our range of products by e-mail unless you ask us not to do so or have ticked the marketing opt out box provided. We may transfer your personal information to third parties unless you inform us that you do not wish this to happen. This may include our marketing agents.

  7. Job applicants, current and former UKChanges employees

    When an individual applies to work at UKChanges, we will use the information supplied to process the job application and to monitor recruitment statistics. Where UKChanges want to disclose information to a third party, for example to take up a reference or obtain a 'disclosure' from the Criminal Records Bureau UKChanges will not do so without informing such individual beforehand unless the disclosure is required by law.

    Personal information about unsuccessful candidates will be held for 3 months after the recruitment exercise has been completed, it will then be destroyed or deleted. UKChanges retain de-personalised statistical information about applicants to help recruitment activities, but no individuals are identifiable from that data.

    Once a person has taken up employment with UKChanges, UKChanges will compile a file relating to their employment. The information contained in this file will be kept secure and will only be used for purposes directly relating to that person's employment, such as the provisions of references, tax or pension arrangements.

    Once employment with UKChanges has ended, UKChanges will retain the file in accordance with the requirements of its retention schedule and then delete it.
